Becoming an Assessor

Q. What is an Assessor?

Assessors are adult volunteers who assist Participants with their Award Program. For each Section of The Award (Fitness, Skill etc), a Participant will need at least one Assessor to help guide them throughout their Award journey. In some instances a Participant will require more than one Assessor per Section.

Q. How do I become an Assessor?

A Participant has to choose you as their assessor. Anyone can be an assessor as long as they are experienced or qualified in the section of a participant’s Award they are assessing. 

Generally Participants are responsible for finding their own Assessors, however it is the responsibility of the Award Coordinators to check and approve Assessors and ensure they are suitable. In some circumstances, a Coordinator, on behalf of their Licenced Operator, may create a pool of recognised Assessors for popular activities previously undertaken by their Participants.

Q. How old do I have to be to be an Assessor?

You have to be at least 18 years of age to be an Assessor.

Q. Do I need any qualifications?

Assessors must have experience and/or qualifications in the activity chosen by the Participant. They must be suitably skilled to assist the Participant in deciding on their goals, assess a Participant’s activity, write a report at the completion of that activity, and sign off the Record Book to verify the Participant has achieved the requirements of the Award.

Q. Can I be more than one participant’s Assessor?

Yes, an Assessor can assess more than one Participant. They may also be qualified to assess across multiple activities and/or Sections. An Assessor may be required to meet certification or qualification requirements if their activity is bound by a State/Territory or National accreditation requirement. Please note that a Coordinator can also be an Assessor. 

If you are Assessing via the Online Record Book, you will only need one login to assess multiple Participants. Remember to give all Participants the same email address so the system recognises you as an existing Assessor.

Q. What are my responsibilities, should I choose to become an Assessor?

As an Assessor, you are responsible for:

1.      Assisting Participants to identify and set achievable goals for the Section(s) you are assessing.

2.      Helping Participants to stay focused on the goals they have set.

3.      Assisting Participants to develop a program to reach their goals.

4.      Encouraging and recognising improvements in your Participant(s).

5.      Recording positive comments about their progress in their Record Book.

 

As an Assessor you must:

I.            Be experienced or qualified in the field in which you are instructing or assessing.

II.            Be approved by the Award Coordinator and therefore the Licensed Operator (LO) prior to the Participant commencing the activity.

III.            Hold appropriate qualifications from a relevant authority if such qualifications are available and/or required.

IV.            Be selected and approached by the Participant before the Participant commences the activity.

V.            Agree to the Volunteer Code of Conduct prior to undertaking any assessment

 

Online Record Book Help for Assessors

Q. What happens if an Assessor doesn’t have access to the Internet?

Participants can print a form from within the Online Record Book “My Award Setup” section. Once signed, the Participant will need to take this form to their Coordinator. The Participant will also need to enter their Coordinator as an Assessor through the Online Record Book, so the Coordinator can sign the relevant Section(s) off on behalf of the offline Assessor. 

 

Participants are encouraged to print out regular updates of their logs for Assessors to monitor their progress, and when a Section is complete, Participants must print their completed logs from the “My Summary” section of the Online Record Book so the Assessor can make their final assessment and write their report. This report must be taken to the Coordinator for final signoff in the Online Record Book.

 

Q. How do I know where a particular Participant is up to with their Award?

All Participants you assess will be listed on your Dashboard of the Online Record Book. To access their log, simply click on their name. A new browser window will launch with the appropriate Section log.   You will be able to comment on your Participant(s) activity here, and this is also where you will write your final report.

You will also see a feed of recent Participant activity on your dashboard. This is where you can also comment to Participant activity (without having to access the summary).

Q. How can I easily contact my Participants?

There is an internal messaging system on your Dashboard of the Online Record Book. Simply create a new message, and choose the relevant Participant from the contact drop down. 

Your Participants will also be accessible via the “My Contacts” tab. Here you will be able to see their email and phone details.

Q. How do I know when I am supposed to assess a Participant?

When a Participant has completed a Section, they will mark the Section as complete.   This will appear on your Dashboard under “Requests for Sign off”. Simply click on the Participant’s name and complete your report. This will then alert the Coordinator, and when a Participant has completed all Sections and they have been signed off, they will be eligible to receive their Award.

Q. What if I do not believe a Participant has completed a Section, even if they do?

If a Participant marks their Section as complete, however you do not believe they have met the requirements of that Section, you can reject the Section through the Assessor report in the Section summary. An internal message and email will be sent to the Participant with your message, and they will be able to continue to log activities until they have met the requirements.

Q. What happens if I can no longer be an Assessor?

If you are unable to continue being an Assessor, you will need to speak to your Participant(s), and if you can, their Coordinator(s). Try and help your Participant(s) identify a new Assessor and where possible speak with the new Assessor(s) and confirm all Award activities to date.

Q. What happens if I don’t agree with the Volunteer Code of Conduct?

It is a requirement of The Award for all Assessors and Coordinators to agree to the Volunteer Code of Conduct. If you do not wish to agree to this, you cannot become an Award Assessor.

Q. What happens if I forget my login?

There is a password help at the login screen. Please click on that, and you will be prompted to supply your user name or email. Your login details will be emailed to you.

Q. What do you do with my personal information?

We are firmly committed to protecting the privacy any personal information you give us and we aim to maintain a safe and secure system of handling your information. We seek to ensure that your personal information is handled in accordance with the National Privacy Principles in the Privacy Act 1988. We only collect personal information through the Site that is necessary for us to carry out our functions and activities. We will only use your personal information for the reasons we collect it, which is primarily communicating with Award Participants, Assessors and Coordinators and recording Participants’ progress, communicating about The Award, or otherwise as permitted by the Privacy Act.
